Module 05 · Dispensing, stock, procurement

Pharmacy stock that reconciles, because every movement is recorded at the point it happens.

DawaSmart began as pharmacy software and the hospital pharmacy inherits all of it: dispensing that deducts stock by batch, expiry alerts, purchase orders and goods received, transfers between stores, stock counts and a dispensing log that shows who dispensed what to whom.

Dispensing queue

What it does

Capabilities, as they exist in the product today.

Dispensing

  • A dispensing queue of prescriptions from consultations and wards
  • Dispensing by pack or unit, with batch selection and automatic stock deduction
  • Walk-in sales at the pharmacy counter with receipts, M-Pesa, cash and card
  • A dispensing log export of every item, by patient, prescriber and dispenser, with stock before and after

Stock and stores

  • Products with batches, expiry dates, reorder levels and low-stock alerts
  • Suppliers, purchase orders, goods received notes and supplier invoices, including AI reading of supplier invoices into stock
  • Transfers between the main store and dispensing points, stock adjustments and stock counts
  • Stock movement history for every product, so a balance can be traced to its source

Reports

  • Expiring and expired stock, fast and slow movers, stock valuation
  • Sales and dispensing by period, product, staff member and payment method

Workflow

How the work moves.

Who uses it: pharmacists and pharmaceutical technologists, store keepers, procurement officers, finance.

  1. 1

    Prescribe

The prescription appears on the pharmacy queue with payment status.

  2. 2

    Dispense

The pharmacist selects batches; stock is deducted and the patient's bill updated.

  3. 3

    Replenish

Low-stock alerts drive purchase orders; goods received update batches and costs.

Questions

About pharmacy and stores

Can wards hold their own stock?
Yes. Each dispensing point or ward store is a stock location with its own balances, fed by transfers from the main store.
Does the pharmacy work without the hospital modules?
Yes. The same pharmacy is sold on its own to retail pharmacies at dawasmart.app.
