Buying and pricing
How is DawaSmart HMIS priced for a hospital?
By quote. A quote has three parts: a one-off implementation fee (configuration, data migration, on-site training and go-live support), an annual licence set by facility level and size, and an optional support agreement with guaranteed response times. Prices are per hospital; additional branches are priced at a reduced rate.
Is there a free trial for hospitals?
Hospitals start with a guided demo and, where useful, a scoped pilot on one department rather than an unguided free trial. Hospitals have too many moving parts to evaluate properly in a self-serve trial.
Do we need to buy servers?
No. DawaSmart is delivered as a service. You need computers or tablets with a current browser, Android or iOS devices for the mobile app, internet access, and your existing printers. Barcode scanners, label printers and queue display screens are optional.
Can we start with a few departments?
Yes, and we recommend it. Most hospitals go live with reception, triage, consultation, pharmacy and billing first, then add laboratory, radiology, inpatient and MCH in planned phases.
Data, security and compliance
Who owns the data?
The hospital. Safravo processes it on your instructions as a registered Data Processor. You can export your records to Excel, CSV or PDF at any time, and on exit we return your data and confirm deletion in line with the agreed retention schedule.
Where is the data hosted?
On DigitalOcean infrastructure in the United States, under DigitalOcean's data processing agreement. We disclose this clearly because it is a cross-border transfer under the Data Protection Act; our DPIA and privacy policy document the position and the safeguards.
Is DawaSmart certified by the Digital Health Agency?
Our application and evidence pack have been submitted and are under review. We do not describe DawaSmart as certified until the Agency issues its decision, and this site will be updated when it does.
Has the platform been independently tested?
Yes. ISP Kenya carried out an external penetration test and vulnerability assessment in 2026. Findings were fixed and a retest confirmed the fixes. The reports can be shared with your IT team under NDA.
Can you integrate with SHA for claims?
DawaSmart records payer details, pre-authorisations and claims today, and the claims workflow is built with an SHA adapter. Live electronic submission to SHA depends on SHA's provider onboarding and conformance process, so we describe it as a roadmap item rather than a feature you can switch on today.
Implementation and support
How long does implementation take?
It depends on the departments in scope and the state of your existing records. A phased go-live starting with outpatient and pharmacy is typically measured in weeks; a full hospital including inpatient, laboratory and radiology takes longer. We agree a dated plan with you during discovery, before any contract is signed.
Can you migrate our existing patient records and price lists?
Yes. We import patient demographics, service catalogues and price lists, product catalogues and opening stock from spreadsheets or exports of your current system. Historic clinical notes are migrated where the source data is structured enough to be reliable; otherwise they are attached as documents to the patient record.
What training do staff get?
Role-based training on site: reception, nursing, clinicians, laboratory, radiology, pharmacy, cashiers and administrators each get sessions on their own workflows, followed by floor support during the first days of go-live.
What does support look like after go-live?
Critical issues are acknowledged within one hour, around the clock. High-priority issues within four business hours and normal requests within one business day. Support is by telephone, WhatsApp and email, Monday to Saturday 8:00 to 18:00 EAT, with critical cover outside those hours.
Does it work when the internet is down?
DawaSmart is a connected system and needs internet access for clinical and billing work. We help hospitals plan a resilient connection (a primary link plus a mobile data fallback). Receipts and documents already generated remain available on the device that produced them.
